Pivoting a mechanic’s outlook

  • A mechanic/ also owner would do the paperwork and would often lead the paperwork getting greasy and illegible
    • By having his wife help out in the office and Pittroe implementing  cloud accounting for a mechanic, this streamlined their invoicing process and reduced administrative time by 30% especially since sales tax would be owed in the state of Pennsylvania and filed on a monthly basis. 
    • The shop manager wasn’t that great with technology at first but after some training with QuickBooks and SOPs in place, they were able to focus more on their customers.
  • The shop would advertise as a general repair shop but specialty is in helping restore classic cars by sourcing the parts, pulling the motor, and replacing. After doing some research, there is no competition for this in the immediate area where most people who may be interested in these services would have to go to the city to do so. He’s able to pull in from the surrounding areas as he’s close to tri-state lines. With some subtle shifts in marketing, reconfiguring the lot and garage layouts, he’s able to bring in those bigger value jobs while still be able to support the general repairs. This also significantly improved cash flow management, which is a common pain point .
  • They have two sons. One is already helping out as the second set of hands in the shop. The other is in the armed forces and was looking to come home. We did a financial analysis and looked to see if it was possible for the second son to work in the shop or work elsewhere in the city full-time and helping out on weekends. He decided to re-enlist while we worked on the other goals, while we work on formulating plans for a legacy build. 
  • Future goals include purchasing a building/ land instead of leasing. The payment is already there (mostly), just have to do some sourcing and other research

Improving a Client’s outlook and debt management

After receiving a huge commission at the end of the fiscal year, and filing taxes on his own, the client was in some major tax debt. Not only that, he had the wrong structure for his business where he wasn’t able to take advantage of certain tax deductions. The first order of business was to change his business structure to an S-Corp giving him the ability for a salary and not as a sole proprietor. He filed his own taxes before Pittroe coming into the picture resulting in a huge tax bill who he reached out to a company that turned out to be terrible as they basically went MIA on him. After complaining to the BBB, he did get a refund. 
Not only that, him doing his own taxes he missed out on expenses as he didn’t have bookkeeping in place. We re-did the bookkeeping and taxes after setting up Accounting software resulting in some savings there. Meanwhile, he was stressing about the tax debt and said he would have an estimated $20k sitting in the bank if everything went as according to the plan. We had him meet with a debt management professional who helped put him on a plan that would save him approximately $70k in interest over the lifetime of the loans, reduce his length of time to pay from 15 years to under 5 with his plans of being more aggressive to maybe three. 
He also needed some HR consulting to worked it into the budget for some HR work to formalize concrete policies regarding benefits and finding a new assistant.

Assited with an IRS Audit

HVAC company hired the wrong tax company at first who butchered their tax returns which triggered a tax audit by the IRS for two years. There was no accounting software in place for the two years in question, it was started afterwards, no mileage tracking, or any other softwares. Everything was done manual and they do lots of work for home warranty companies which results in manual calculations, split payments from deductibles, non-covered parts, and payouts from the warranty companies. The paperwork was very confusing.
 Assisting with the audit resulted in doing the bank statement conversions, uploading, and categorizing transactions in QuickBooks, from the two year to current, going through all the paperwork and making mileage logs (each year had 2-3 banker boxes full!), and sorting through the payments. It was rather time consuming!

Helping Automate Lead Generation for Advertising Barter

Deciding on an area I wanted to focus on some marketing efforts  as I joined the Chamber of Commerce soon after starting to advertise in a neighborhood magazine and bartered for advertising in a second magazine. The lead generation process was like finding a needle in a haystack.You had to do a search in Instagram for the industry and then find the profiles for profiles you hadn’t interacted with. This was rather time consuming for the searching. Automated some scraping, doing comparisons of whether they were following us or vice versa. Actually found a couple current contracts where neither was being followed online catching that aspect. From there, we had direct links to their profile saving time from searching. This resulted in improving productivity by 50% and a steady flow of leads and a potential SaaS product!

Support for Multi-passionate Entrepreneur

Multiple things going on that all support one another. Founder of a women’s networking group, non-profit helping those get out of domestic abuse situations, and a realtor where she’s helped some of her ladies from the non-profit either save for a purchase or renting. She needed a few key things. It was mostly on the operational side as I was involved with the networking as well: Helped grow membership in the organization by hosting one of the luncheons Served on the Advisory Board for strategies to help it grow. There was no tech stack aside from the networking platform. Helped setup tech stack and SOPs for: Task Management Social Media Planning and an “Evergreen” Queue to where there was always content being posted. Development of “social media templates” Development of the newsletter and software to support it. Analysis of lunches to better coexist with the other women’s networking groups in the area as to not be in direct competition on the same days as other events

Pittroe developed value-added resources like a small business bookkeeping tracker for Google Sheets and a business/financial plan template for Canva. I created a tailored webpage for the masterclass under Jackie’s existing WordPress site. This included setting up seamless integration with PayPal for registration payments and the creation of the Header Image. The financial strategy ensured that the setup costs were within budget while maximizing revenue potential.

Email Sequences

To promote the masterclass, I wrote a 3-part email sequence that resonated with Jackie’s brand voice. These emails generated excitement and drove registrations. Financial insights were applied to predict and track the ROI from email marketing campaigns.

Advertising

To get the word out, we leveraged her Facebook Group and listed the masterclass on Eventbrite. These platforms spotlighted the masterclass and highlighted participant benefits. Strategic planning ensured that advertising spend was allocated effectively to maximize reach and engagement.

Technology Management

On the day of the live workshop, I provided technical assistance to ensure everything ran smoothly on Zoom. I also recorded the session for transcription. These are currently in development for an exciting course she’s creating! Efficient technology management helped minimize costs while ensuring a high-quality experience.

System Migration

The third-party system Jackie used for mail was outdated and didn’t support her growing follower base. She only uses email blasts for events like this. It made no sense for her to pay for lack of features when I knew of a free system that would integrate well with her WordPress Website. It was easy to migrate her current list, improving operational efficiency and reducing costs.
